5.1. Order Service, Starting a Sale

Creating a sale can be as simple or complex as you or you customer wishes. In any case, Innova's Order Service can accommodate most if not all tasks.

The first thing to understand is that all sales, no matter the effort, starts with the date and customer.

ORDER STATUS: OPEN SALE

To start a sale

• Click [Add New Order] on the toolbar. The window prepares for the new order information.

To enter the date

• Either enter the date manually (mm/dd/yy) in the text box or click on the [Calendar Tool] button and select the date.
• If the date is earlier than the system date (current date), Spa will ask you if you will be entering historic dates. If you are, the "Allow Past Dates" check box will be selected
• Dating the sale is manditory!

• Simply type the customer's name in the "Customer" field.
• If the name exists in the database, his/her information will be displayed in the "Customer Info" detail box
• If the name does not exist you will be asked if you want to create a new customer record. Remember that only the customer's name will be entered in this new record. Check the record by clicking [More...] in the "Customer Info" detail box, and fill in the rest of the customer information as you acquire it.
• Until a customer is supplied for the order no further fields will be activated. This is to prevent data errors.
• If you enter a group of people or a couple as the customer name the first word will used as the first name and the rest will become the last name. For instance:
  1. "Mr. & Mrs. Smith" is read as "Mr." (first name) "& Mrs. Smith" (last name)
  2. "Bailey Cannery Co." is read as "Bailey" (first name) "Cannery Co." (last name)
  3. "Annabel" is read as "Annabel" (first name) (no last name)
  To avoid this, try to enter one person per record/order or accept company names read like #2. Of more importance, make sure to enter the person's last name.
